HOW DOES IT WORK?

First, contact me and tell me about your wedding (don’t forget to include your wedding date!). I’ll get back to you by email to confirm my availability. If I’m available, you’ll receive a short questionnaire and I’ll suggest a video call so we can meet and understand the experience you’d like to create.

During the call, we’ll get to the heart of your project. We’ll talk about your vision, the vendors you’ve already chosen, where you are in the planning process, and what’s still to be built together. This step is essential for understanding how I can best support you and truly make a difference.

Then, I’ll prepare a personalized, free quote based on your needs. I’ll present it during a second, shorter call so I can walk you through everything in detail and answer any questions. After that, you’ll receive the full quote, contract, and instructions to move forward with the booking.

If I’ve won you over, we’ll start working together. I’ll ask you to put me in contact with all your vendors so I can coordinate communication and next steps.

I’ll organize a site visit with all vendors to define the timeline and every operational detail. Then, I’ll create a detailed document including Plan A, Plan B (and alternatives in case of unexpected events), a draft timeline, and operational notes for each vendor. This document will be shared first with you and then with the entire team.

In the weeks leading up to the wedding, I’ll finalize the timeline, define the last details, coordinate any last-minute changes, and oversee materials and pre-setup. The goal is to arrive at your wedding day with everything under control.

On the wedding day, I bring your vision to life by managing vendors, supervising setup, ensuring the timeline is respected, handling any unexpected situations, and overseeing breakdown—so you and your guests can fully enjoy the day without worrying about a thing.

HOW MUCH DOES IT COST?

Wedding Day Coordination starts long before the wedding itself. It’s a service made up of many behind-the-scenes hours that require organization, attention to detail, a big-picture mindset, the ability to coordinate people and timing, as well as creativity and quick thinking in handling the unexpected.

To prepare a quote, I consider several factors, including:

  • complexity of the event
  • number of vendors involved
  • number of locations and transfers
  • hours of work before and during the wedding
  • whether additional collaborators are needed

Every wedding is unique—with different timelines, dynamics, and expectations—and deserves a tailored proposal. There is no standard rate, but to give you an idea, the minimum investment for wedding day coordination starts at €1,500 (+ 4% INPS). Good news? Payment plans are available.

Ideally, at least three months before your wedding. This allows us to go through every step calmly: organizing the site visit, coordinating vendors, checking and collecting printed materials or favors, and more.

Keep in mind that I may be working on other weddings during the same period, so having enough time to dedicate to each one is essential.

Of course. I can handle everything related to day-of coordination. In the weeks before the wedding, I’ll communicate the final guest count, allergies, and intolerances to the caterer; collect wedding favors; and check and collect printed materials.

The day before, I can coordinate the welcome aperitif, dinner, and pre-setup. On the wedding day, I can place seating charts, menus, place cards, set up the candy table, and more. During our first call, we’ll define the level of support you need based on your choices and the vendors involved.

Absolutely. I can suggest reliable vendors from my network to complete your team while ensuring quality and consistency with your vision.

Coordination does not include negotiating with vendors, full budget management, or creative event design. My role is to ensure that everything you’ve planned is executed flawlessly.

A Wedding Planner supports you from the very beginning, handling the entire process: vendor selection, design, contracts, and full budget management.

A Wedding Coordinator steps in during the final months to coordinate everything that has already been planned, focusing on the operational details of the wedding day.

If you’re a foreign couple and need language support from the early stages, I can also assist you as your interpreter throughout the planning process.

Honestly, yes. Not because I want to sell you a service at all costs, but because—even if the venue and vendors are perfectly capable of managing certain tasks—they may not have an overall vision. Who coordinates music, photography, setup timing, or decides what to do if something unexpected happens?

Every wedding is different, as is the team that makes it happen. Some vendors may have worked together before, others haven’t. Some may know the venue, others don’t—and no one has ever worked on your wedding before. That’s where a Wedding Day Coordinator makes the difference.

During the site visit, I plan every detail, create backup plans, and on the wedding day, I coordinate everything—ensuring everyone feels part of one cohesive team working in perfect harmony.

Once you accept the quote, I’ll ask for a non-refundable deposit to secure your date.

One month before the wedding, I’ll issue a pro-forma invoice with immediate payment due via bank transfer. If we’ve agreed on a payment plan, we’ll follow the scheduled installments.
